When to Use Rules and When to Use AI in a Workflow

Not every automated step needs AI. A deterministic rule and an AI-assisted step solve different problems. Choosing between them starts with the kind of decision being made, the information available, and the consequences of an incorrect result.

Use rules for explicit conditions

If a form names a service category and the business has a defined owner for that category, a routing rule may be enough. Required fields, fixed status changes, and straightforward calculations can often be expressed directly. Rules are easier to inspect when the conditions and expected outputs are clear.

Consider AI for interpretation

AI may help summarize a long inquiry, suggest a category, or prepare a draft response. These tasks involve interpreting language rather than checking a simple condition. Define the allowed inputs and output format. An AI-generated summary should not silently become an authoritative customer statement without review where accuracy matters.

Combine the approaches deliberately

A workflow might use rules to validate required information, AI to prepare an internal summary, and a person to approve the next response. Keep the original record available so the reviewer can check the summary. Build a fallback for ambiguous or unsupported requests.

Test the boundary cases

Use sample inquiries with missing details, conflicting instructions, irrelevant text, and multiple service requests. Check whether the workflow routes uncertainty to a person. Review outcomes with the actual team instead of judging a system only by a few polished demonstrations.

The design should explain which steps follow fixed rules, which use AI, and which require a person. That division makes scope, testing, and ongoing responsibility easier to understand. Adding AI is useful when it has a defined job and a clear path for correction.
