Prevent Duplicate CRM Records Before They Multiply
Duplicate records can split a conversation across several entries and create conflicting follow-up tasks. Cleaning them up is easier when the business first understands how they are created. A prevention plan should address both identity matching and repeated events.

Trace the entry points
List website forms, manual entry, imports, booking tools, and other connected sources. Identify whether each creates a new record or can update an existing one. Check what information is available for matching. The same person may arrive through different routes with slightly different details.
Separate contacts from events
A person submitting twice is not always a new contact, but the second submission may contain a new request worth preserving. Decide how the system stores contact identity and inquiry history. Preventing duplicates should not erase meaningful activity or replace a reviewed note with unrelated text.
Define uncertain matches
Write rules for missing email addresses, shared inboxes, changed contact details, and similar names. Where identity is unclear, route the record to review instead of merging automatically. A mistaken merge can combine information belonging to different people or businesses.
Test repeated delivery
Send the same internal test event more than once and inspect contacts, tasks, and notifications. Confirm that retries do not repeatedly create the same action. Use platform-supported identifiers where available and keep the team able to inspect what happened.
Document who can approve merges and how the original history is preserved. Review duplicate patterns periodically, especially after a new integration or import. A reliable CRM needs a consistent record of the relationship, not just a growing number of entries that happen to share similar contact details.
