What Should Happen When an Automation Fails?

A workflow can fail because a connection expires, an input is incomplete, a vendor changes behavior, or a destination is unavailable. Failure handling belongs in the design from the beginning. Otherwise, the business may discover a broken process only after a customer follows up.

Separate types of failure

Distinguish temporary connection problems, invalid input, missing permissions, and business-rule exceptions. They need different responses. A temporary outage may justify a retry; a missing required field may need a person to obtain information. Repeating the same invalid request does not resolve the underlying issue.

Make failures visible to an owner

Send an actionable internal alert with the workflow name, affected record reference, failed step, and suggested next action. Include a link to the source where possible. Limit the alert to information the recipient needs. Define a backup route when the primary owner is unavailable.

Avoid duplicate actions

Before retrying, consider whether the previous attempt may already have completed. A repeated form event should not create repeated client messages or several identical tasks. Use stable event or record identifiers where the selected platforms support them, and test duplicate delivery explicitly.

Create a recovery checklist

Document how to inspect the original record, determine what completed, correct the problem, and resume safely. Preserve enough history for the team to understand what happened. Agree on who can pause the workflow and how the business continues manually while it is unavailable.

Review failure examples during handoff, not only the successful demonstration. A workflow is operationally useful when the team can detect an exception, understand its effect, and recover without guessing. Ongoing monitoring and support responsibilities should be explicit in the project scope.
